Free Quote Check: Scope, Costs & Follow-Up

A five-minute check before your next quote

For independent cleaners, landscapers and small home-service teams. Use your own numbers; this is a free checklist, not an automated estimate or professional financial advice.

1. Define the work

Write the rooms, areas or tasks included, the exclusions, access requirements and quote expiry. If you offer alternatives, each package should describe a complete scope. Keep optional additions separate.

2. Count the real job costs

List materials, total person-hours × your loaded labor rate, travel, subcontractors, other direct costs, and an allocated overhead assumption. Unknown is not zero. Do not double-count labor or overhead.

3. Check margin, not just markup

Illustration only: a $300 cost at a 30% target margin requires at least $428.58 before tax ($300 ÷ 0.70). Adding 30% markup produces $390, a 23.08% margin. Your actual costs, pricing and tax treatment may differ.

4. Give the quote a next step

State how the customer can ask questions or accept, then schedule an appropriate follow-up. Stop on an opt-out or clear refusal. These downloads do not send messages for you.

5. Close the feedback loop

After the job, compare actual costs with the estimate and record the reason for any overrun. Revise the next estimate using evidence, not a promised profit percentage.
