FREE PROPERTY MAINTENANCE OWNER GUIDE · TAILORSCAN FORGE
A maintenance request is not permission to spend more than the owner approved.
Maintenance coordination often crosses text messages, contractor estimates and invoices. The failure point can be the handoff: a repair is quoted and approved, but the performed work or invoice goes beyond the recorded scope or spending cap. This checklist helps property operators retain human control without pretending a spreadsheet is a secure authorization system.
A fictional $200 repair example
| Event | Owner record |
|---|---|
| Vendor quotes scoped repair | $200 |
| Owner authorizes a maximum for this scope | $250 cap |
| Actual cost subsequently reported | $300 |
| Amount above approved cap | $50 |
| Operational response | Stop treating the case as approved; document changed scope, verify supporting evidence and obtain fresh authorization through the designated human channel before further work or payment |
This example is illustrative, not a recommended repair price, a conclusion about invoice fraud or an authorization to delay emergency work. Emergency response and legal/habitability duties take priority over an administrative workflow.
Seven checkpoints for each work order
- Give the request a unique ID and an anonymized property/unit code. Record when it was reported.
- Apply your independently approved emergency escalation process where necessary. Software must not decide that a hazard is safe to defer.
- Document work scope, exclusions and access coordination without exposing tenant secrets.
- Record quote amount, the contractor's scope and which quotation is being considered.
- Obtain authorized approval in the appropriate real-world channel, including a monetary cap and evidence reference.
- Track planned date and follow-up; separately verify who has been notified. A recorded calendar date does not dispatch anybody.
- Compare actual cost to the approval cap and independently verify delivered work before closing.
What to buy, if anything
For basic grounds schedules, property work orders and site findings, the one-time Property & Grounds Operations Desk may be sufficient. The separate Property Maintenance Approval & Vendor Control Desk adds documented quote selection, approval-reference gates, automatic in-tool over-cap escalation and printable owner reviews. The new download is being prepared for sale only after file delivery checks are complete.
No financial, legal or safety advice. This educational checklist and any TailorScan offline tool cannot authenticate signatures, send emergency notifications, issue binding approvals or replace mandatory maintenance and habitability procedures. Use human and professional review as appropriate. All dollar figures above are fictional.
