1. Count person-hours, not clock-hours

Two cleaners working three hours each means six paid labor-hours. Multiply total paid hours by your own fully loaded hourly labor cost, including applicable payroll burden and insurance.

2. Add every cost per visit

Include cleaning supplies, travel, equipment, supervision and a reasonable share of overhead. Do not treat supplies or drive time as free. Use actual, documented assumptions for each facility.

3. Price for a margin, not a markup

Target price per visit = total cost per visit ÷ (1 − target margin as a decimal).

Illustrative example: 6 paid cleaner-hours × $22 loaded cost = $132 in labor. Add $8 supplies + $12 travel + $5 equipment + $18 allocated overhead = $175 total estimated cost per visit. At a 35% target margin, the price is about $269.23 per visit. Three visits per week average 13 visits per month, resulting in a roughly $3,500 average monthly quote. Actual visit counts differ by calendar month.

Five-minute bid audit

  • Does the proposal use total paid person-hours rather than time on site?
  • Are holiday and calendar differences handled in the visit count?
  • Are travel, payroll burden, equipment and supervision included?
  • Have you tested what happens if the job takes 15% longer?
  • Does the renewal price still work if wages or supply costs rise?
